At Cardinal Health Mental Health Counseling Services, we operate primarily as an out of network therapy practice.

This allows us to provide more specialized, relationship-focused, trauma-informed, and individualized mental health care without some of the limitations that can sometimes come with insurance-based therapy models.

When therapists work directly with insurance companies, treatment is often influenced by insurance medical necessity requirements. This can require therapists to assign diagnostic labels, document specific symptoms in treatment records, and sometimes limit session frequency, treatment duration, or therapeutic approaches.

Insurance companies also typically require therapists to justify ongoing treatment through symptom-based progress reporting rather than allowing therapy to focus purely on long-term emotional growth, relationship development, or preventative mental health care.

By working outside of insurance networks, we are able to focus fully on client goals, emotional wellbeing, relationship patterns, anxiety management, and trauma recovery work without administrative treatment restrictions.

Many clients choose private pay therapy because it offers:

  • More flexibility in treatment planning

What Is a Superbill? (And How It Works)

Although we are an out-of-network private pay practice, many clients are able to receive partial reimbursement from their insurance companies using a superbill.

A superbill is a detailed receipt that includes:

  • Therapist information 
  • Diagnosis code (if clinically appropriate and required for reimbursement submission) 
  • Session date and service information 
  • Payment information

You can submit the superbill directly to your insurance company for potential reimbursement.

To submit a superbill:

  1. Request a superbill from our administrative team

  2. Log into your insurance provider portal or contact your insurance company directly

  3. Submit the superbill through their reimbursement claims process

Reimbursement is determined entirely by your insurance plan benefits. Typical out-of-network reimbursement varies but often ranges between 30% – 70% of session costs, depending on deductibles, coverage, and policy specifics.

We encourage clients to contact their insurance provider directly and ask specifically about:

  • Out-of-network mental health reimbursement
  • Deductible requirements for out-of-network care
  • Reimbursement percentage after deductible is met

Therapy Session Fees

Therapy session range from $100-$200 per session based on which provider.

We offer a limited number of reduced-fee sessions with select clinicians when available. Reduced-fee availability varies and is typically based on clinician caseload and training level.

Fees are collected on the day of session. Our office runs payment cards on the morning of your scheduled appointment. We believe in transparent pricing so you can focus on your therapy experience rather than administrative concerns.

Payment Methods

We accept major credit and debit cards.

Cancellation Policy

We respect both your time and our therapists’ time. If you are unable to attend a session, please cancel at least 24 hours in advance.

Late cancellations (less than 24 hours notice) will incur a $50 late cancellation fee.

No-show appointments or cancellations made within 24 hours of the session time will be charged the full session rate.

This policy allows us to maintain availability for other clients seeking care.
